Terms and Conditions
1. Definitions
For the purposes of this agreement:
“Photographs” refers to all photographic material supplied by the Photographer, including transparencies, negatives, prints, digital files, or any other physical or electronic format.
“Videos” / “Movies” refers to all motion‑picture footage and accompanying audio created by The Wedding Drone and delivered via any physical or online medium.
A “Booking” is confirmed solely upon payment of a deposit for an agreed date, recorded in writing. Bookings are not transferable between dates.
A “Service Package” / “Service Booking” denotes the specific product or service commissioned from The Wedding Drone for a designated date.
“Photographer” refers to the individual operating photographic or videographic equipment during your Service Booking.
2. Scope of Service
Your selected photography or videography package, together with any additional products or enhancements, must be agreed in advance.
3. Copyright
Full copyright ownership of all Photography produced by The Wedding Drone is transferred to you upon completion, granting you the unrestricted right to reprint, enlarge, copy, publish, and sell the work. The Wedding Drone retains the right to use any material for promotional or advertising purposes. A Copyright Ownership Certificate will be issued upon completion of all commissioned work.
4. Requested Photographs
The Photographer cannot be held responsible for missed coverage resulting from late members of the wedding party or restrictions imposed by venues, churches, registrars, or licensed premises. While every effort will be made to honour pre‑agreed requests, specific poses, groupings, backgrounds, or locations cannot be guaranteed. Adverse weather may affect coverage; however, the Photographer will endeavour to fulfil the agreed brief within the allocated time.
5. Materials & Colour Accuracy
All photographs are edited and printed to achieve refined, natural skin tones. Certain fabric colours may be challenging to reproduce precisely. If exact colour matching is essential, a swatch must be provided prior to processing.
6. Exclusivity
The Photographer reserves the right to use Photographs at any time, worldwide, for advertising or promotional purposes.
7. Licence to Use
Your Licence to Use becomes effective upon receipt of full payment for your Service Package. You may use your Photographs and Videos in any manner you deem appropriate, provided you hold the Copyright Ownership Certificate. The Wedding Drone accepts no responsibility for how the material is subsequently used.
7a. Weather Guarantee
Should inclement weather prevent outdoor coverage on the wedding day, the Bride, Groom, and Photographer/Videographer may return to the venue for a complimentary retro‑shoot. Where significant travel is required, basic travel expenses may apply. The Wedding Drone is not responsible for recreating or restoring wedding‑day elements such as attire, hair and makeup, florals, suit hire, or venue hire. Coverage is limited exclusively to photography and videography.
8. Client Confidentiality
All information shared for the purposes of photography or videography will be treated as confidential, except where disclosure is necessary to fulfil the commission or to permit the use of material for advertising by The Wedding Drone.
9. Indemnity
In the exceptionally unlikely event of total photographic failure—whether due to equipment malfunction, processing error, or Photographer non‑attendance—liability is limited to a full refund of monies paid. The Wedding Drone maintains professional indemnity and public liability insurance.
10. Booking, Payment, Cancellation & Postponement
A deposit of £300 is required at the time of booking. This deposit is non‑refundable except where The Wedding Drone cancels the commission. A booking is confirmed upon receipt of the signed Booking Form and/or deposit. Payment alone may serve as proof of contract in the absence of signed documentation. The remaining balance is due 14 days prior to the wedding date. Payments cannot be refunded unless cancellation is initiated by The Wedding Drone. Additional orders for prints or video must be paid in advance. Processing costs are charged at the prevailing rate at the time materials reach the laboratory. All cancellations must be submitted in writing. Client‑initiated postponements are treated as cancellations.
Cancellation Terms:
More than 6 months before the booking date: The deposit is forfeited. An additional £200, or the remaining balance (whichever is lower), is payable upon cancellation.
Less than 6 months before the booking date: Full payment of the Service Package is required, minus deposits already paid and minus any expenses not yet incurred by The Wedding Drone (e.g., travel, accommodation).
11. Expenses
The Photographer covers their own travel, materials, and refreshments unless otherwise stated. The Wedding Drone calculates the total balance to include such expenses, meaning additional charges are rarely required.
12. Rejection
Images may not be rejected on the basis of artistic style or composition.
13. Electronic Storage
Photographs and Videos may be stored in any media format you choose, in accordance with Section 3. The most common format is USB.
14. Uncontrollable Event
In circumstances beyond the control of The Wedding Drone—including but not limited to emergencies, natural disasters, pandemics, government restrictions, venue closures, or supplier failures (excluding The Wedding Drone)—Section 10 shall apply. Where possible, The Wedding Drone will endeavor to transfer your booking to a new available date. The Wedding Drone is not responsible for date changes made by the client without prior confirmation of availability.
15. Consumer Insurances
Clients are strongly advised to obtain Wedding or Event Insurance to cover circumstances outlined in Section 14. Such insurance may reimburse payments made to The Wedding Drone. Arranging insurance is the sole responsibility of the client.
16. Applicable Law
This agreement is governed by the laws of England and Wales. These Terms & Conditions may only be amended in writing.
